Features to look for in event & Venue management software

If you are planning an event and want to streamline the entire process, then there are some important features you should look for in event & venue management software. Some of these include built-in email and marketing automation, calendar management, integration with payment gateways, and cost-effectiveness. Depending on your needs, you can choose from among these features, or look for a combination of these. Here are some features to look for in event management software.

Built-in email and marketing automation

While you can find many event management software solutions on the market, there are some features you should look for that make your work easier. If you are looking for an easy-to-use event planning tool that can do more than create a website, you should consider Regpack. Regpack makes it easy for event managers to create custom onboarding processes and manage online ticket sales. It also facilitates mobile check-in via a widget that can be embedded on your event website. It is also easy to set up surveys after events and organize post-event follow-ups. Some event management software is built using a project management tool like Trello. For event organizers that aren’t so comfortable using a traditional project management tool, Trello offers a drag-and-drop card feature that’s intuitive for beginners.

If you’re looking for more flexibility, you can opt for end-to-end event management platforms. These are especially useful for mid-sized events. In addition to automating most of the event management process, such software also helps you build a landing page or event website. A good event management software will also allow you to manage your email and marketing campaigns. However, you should be aware of the limitations of these end-to-end event management platforms.

Integration with payment gateways

Integration with payment gateways in event management software can be achieved by setting up your events to accept different types of payments. In the Settings section of Events Manager, click Payment Gateways. By default, gateways are inactive. You must enable them to accept payments. After setting up your gateways, they will appear as payment options on booking forms for chargeable events. Here are the steps for setting up your payment gateways.

Choose an easy-to-integrate payment gateway. PayPal and Stripe both offer integrated payment services, but Stripe is the preferred choice of event promoters. Both work on a different principle, giving event promoters more flexibility to integrate their payment processes. Additionally, Stripe is transparent about its pricing. They charge 1.4% plus 20p per transaction and there are no signup fees or monthly fees. To select a payment gateway for your event, read reviews and compare different services to determine which one suits your needs the best.

Calendar management

If you’re a professional event manager, you probably know how important a calendar is for an effective event planning process. Calendar software helps you manage events by breaking them down into smaller components, allowing you to adjust details at the click of a button. Even better, a calendar with this feature also integrates into your website and allows you to schedule 1-on-one appointments with guests. Networking opportunities add value to your events, especially for professional organizations.

Timely has a simple, clean design that is easy to use and navigate. It’s designed for both online and print publications and supports more than 12 different languages. You can browse the calendar by location and keyword, and save imported events as drafts. Timely also supports multiple languages, and you can customize your calendar by changing the default translation for certain words in the public view. Additionally, you can choose which time zone your calendar displays in.

Cost-effectiveness

The cost-effectiveness of event management software depends on its feature set and functionality. For example, most of these solutions are priced individually, ranging from $5,000 to hundreds of thousands of dollars annually. Many also charge by the registration, with fees lowering as the number of attendees increases. In addition to standard functionality, event management software also should have an integrated budget management system, which captures all financial transactions during the event. For example, it should track payments, analyze average costs per person, and provide analytics.

Even large enterprises are increasing their event budgets, and most of these companies plan elaborate trade shows and corporate meetings. Whether it’s a trade show, a product launch, or a company conference, most organizations use events as a strategy to increase their sales. They can also generate leads for future revenue generation. Event management software can help organizations successfully plan, execute, and monitor events, allowing them to focus on other aspects of their business.

Security

While best practices for protecting your data are still necessary, it is never too late to start. This way, you can prevent hackers from accessing your data and minimize your risk of breach. To protect your data, you must implement multi-factor authentication and ensure that your guests’ details are not visible to anyone else. To protect your data, implement a privacy policy and train your employees to follow it. After a breach occurs, you should analyze the situation and take the necessary actions to secure the data.

An event management software should include security features. These features are essential if you are planning to store sensitive data online. The best ones will have strong data encryption facilities and password managers that will keep your information secure. Moreover, they should allow you to organize your data into segments. This will help you track which leads are the best, as well as which are not. It is also important to look for a feature that will enable you to manage your event data without the need to spend a fortune on software.
